Your financial portfolio contains the investments that you think will provide the most financial value given your financial goals. Likewise, business portfolio management is a process that helps your organization allocate its scarce resources on the work that is of the most value. The adoption of portfolio management requires you to apply the mindset of your personal financial portfolio to your organization work portfolio. .  

There is a lot of good that comes from true portfolio management, but let me explain a couple items to start.

  • Improved resource allocation.

  • Improved balance.

  • Change of focus from cost to investment.

When a project starts you create a schedule that represents your best thinking on how the project should progress. But it seems on many projects that one day after your baseline schedule is created, you are already behind. Here are five techniques to help stay on track.

Many people hear the terms projects, programs and portfolio, but are not sure what they all mean and how they fit together. All three are structures that allow us to organize certain types of work. These three concepts need to be understood by project managers.

Projects

Projects, by their definition, have a defined start and end date. 

Programs

Some initiatives are so large that it makes sense to break them up into a set of smaller projects. .

Portfolios

Portfolios are collections of work.

Summary

Just remember the key points. Projects are temporary endeavors to build one or more deliverables. Program are very large initiatives that are broken up into a set of smaller projects and then coordinated centrally. The projects in a program are related. Portfolios are collections of work - usually projects - and are a way to plan and manage the projects from an organization perspective. The projects may or may not be related.

Many projects have one overall budget that includes all of the project labor costs, equipment costs, materials costs, etc. This is fine for smaller and medium-sized projects. However, as a project gets larger it helps to have the overall budget broken down into smaller allocations.

Cost accounts are used to allocate the budget at a lower level. Your budget is allocated in each detailed cost account and the actual project expenses are reported at that same level. The cost accounts can be established in a couple of ways.

  • By resource type.

  • By WBS work package.

  • By WBS by resource type.

All of these techniques allow you to allocate and track costs at a more detailed level.
